2. What This Policy Covers
This Privacy Policy explains what personal data we collect, why we collect it, how we use it, who we share it with, and what your rights are under UK data protection law (UK GDPR and the Data Protection Act 2018).
This policy applies to:
Visitors to unblocked.coach
People who purchase and participate in an Unblocked coaching session or programme
People who subscribe to our email marketing
3. What Personal Data We Collect
3.1 When you visit our website
Our website (unblocked.coach) uses the Meta (Facebook) Pixel, which places a tracking cookie in your browser and shares limited information about your visit — such as which pages you view and whether you start or complete a purchase — with Meta. We use this to understand how people find us and to measure the effectiveness of our advertising. We do not use any other analytics or tracking tools. See Section 10 (Cookies) for more detail and how to control this.
3.2 When you purchase a session
Your name and email address (via Stripe at point of payment)
Payment information — processed and stored securely by Stripe; we never see or store your card details
Your WhatsApp phone number (provided at checkout)
3.3 During coaching sessions
Full transcripts of your WhatsApp coaching sessions
Session summaries, identified themes, commitments made, and coaching notes generated from sessions
Any flags raised during sessions (for example, wellbeing or safeguarding concerns)
3.4 When you contact us
- Your name, email address, and the content of your message
4. How We Use Your Personal Data
We use your personal data for the following purposes:
Delivering the coaching programme — To provide your weekly coaching sessions, maintain continuity across the programme, and personalise the coaching to your situation and goals. Legal basis: performance of a contract.
Payment processing — To process your payment securely via Stripe and maintain records of transactions. Legal basis: performance of a contract; legal obligation (financial record-keeping).
Programme administration — To send session reminders, welcome messages, and other communications necessary to run your session or programme. Legal basis: performance of a contract.
Email marketing — To send communications about the Unblocked programme where you have opted in. Legal basis: consent.
Safety and safeguarding — To identify and respond to any concerns about your wellbeing that arise during coaching sessions. Legal basis: vital interests; legal obligation.
Improving our service — To review sessions for quality, identify patterns in how clients engage with the programme, and improve the coaching methodology. Legal basis: legitimate interests.
5. Use of Artificial Intelligence
The Unblocked coaching programme uses artificial intelligence (AI) technology to deliver coaching sessions, generate personalised responses, and maintain continuity across your programme.
Specifically:
Your session transcripts and onboarding information are processed by the Anthropic Claude API to generate coaching responses
Session content is processed by Make.com as part of our automation infrastructure
Voice notes, if submitted, are transcribed using the OpenAI Whisper API
Each session is automatically reviewed for welfare and safeguarding concerns as soon as it closes. Where this review identifies an urgent concern, a member of the Unblocked team is notified and reviews it directly. Other flagged concerns are logged and reviewed by the team on an ongoing basis.
We do not use your personal data to train AI models. Your data is processed solely for the purpose of delivering your coaching programme.
6. Who We Share Your Data With
We share your personal data only with the third-party services necessary to deliver the programme. Each is used only for its stated purpose:
Stripe — Payment processing. Stripe stores your payment information securely. We do not have access to your card details. Stripe’s privacy policy: stripe.com/gb/privacy
Airtable — Our client database. Stores your name, contact details, session records, and coaching notes.
Anthropic (Claude API) — AI coaching engine. Your session content is processed to generate coaching responses. Anthropic’s privacy policy: anthropic.com/privacy
Make.com — Automation platform. Connects our tools and orchestrates the delivery of sessions, reminders, and notifications.
Mailchimp — Email marketing. Used to deliver programme communications sent by email.
Meta (Facebook) — Website advertising and measurement, via the Meta Pixel. Meta receives limited website usage and purchase-event data to help us measure and improve our advertising. Meta’s privacy policy: facebook.com/privacy/policy
OpenAI (Whisper API) — Voice note transcription, where applicable. OpenAI’s privacy policy: openai.com/policies/privacy-policy
We do not sell your personal data to any third party. We do not share your data with advertisers.
7. International Data Transfers
Some of our third-party service providers process data outside the UK. Where this occurs, we rely on appropriate safeguards — including Standard Contractual Clauses or adequacy decisions — to ensure your data is protected to the same standard required under UK GDPR.
The key providers who may process data outside the UK include Anthropic (USA), Make.com (USA), Mailchimp (USA), and Meta (USA).
8. How Long We Keep Your Data
We retain your personal data for the following periods:
Session transcripts and coaching notes — 2 years after the end of your programme. After this period, session content is permanently deleted.
Payment records — 7 years from the date of transaction, in accordance with HMRC requirements.
Email marketing data — Until you unsubscribe. On unsubscribe, your email address is suppressed from future sends. We retain a record of your unsubscribe to ensure we do not contact you again.
Onboarding and contact information — 2 years after the end of your programme, or 2 years from your last contact with us if you did not complete the programme.
After retention periods expire, your data is permanently and securely deleted.
9. Your Rights
Under UK GDPR, you have the following rights in relation to your personal data:
Right of access — You can request a copy of the personal data we hold about you.
Right to rectification — You can ask us to correct inaccurate or incomplete data.
Right to erasure — You can ask us to delete your personal data in certain circumstances.
Right to restrict processing — You can ask us to limit how we use your data in certain circumstances.
Right to data portability — You can ask us to provide your data in a machine-readable format.
Right to object — You can object to processing based on legitimate interests, including direct marketing.
Rights related to automated decision-making — You have the right not to be subject to solely automated decisions that significantly affect you. All coaching sessions involve human oversight.
To exercise any of these rights, contact us at hello@unblocked.coach. We will respond within one month.
If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113.
10. Cookies
Our website (unblocked.coach) uses one third-party tracking cookie: the Meta (Facebook) Pixel. It is set when you visit any page on our site and allows us to:
Measure how effective our Facebook and Instagram advertising is (for example, whether someone who saw an ad went on to book a session)
Build advertising audiences based on how people use our site (for example, showing ads to people who started the quiz but didn’t finish it)
The Pixel shares data such as the pages you visit, whether you complete the quiz, and whether you make a purchase with Meta. It does not share your name, email address, or anything you write during a coaching session. Meta’s privacy policy is at facebook.com/privacy/policy, and you can control how your data is used for advertising via your Meta ad settings at facebook.com/ads/preferences.
You can block or delete this cookie at any time through your browser’s privacy or cookie settings, or by using a browser extension that blocks third-party trackers. Blocking it does not affect your ability to use the site, book a session, or complete the quiz.
Stripe may also set its own cookies when you interact with our payment pages. Please refer to their privacy policy for details.
11. Security
We take the security of your personal data seriously. Your data is stored in password-protected systems with access restricted to authorised personnel only. Session data is transmitted securely via encrypted connections.
No system is completely secure. In the event of a data breach that is likely to affect your rights and freedoms, we will notify you and the ICO in accordance with our legal obligations.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Where changes are material, we will notify you by email. The date at the top of this policy indicates when it was last updated.
